Privacy notice
What we do with the information you send us, in plain English. The short version: we use it to answer your enquiry and to carry out the work, we keep it no longer than we need it, and we do not sell it or pass it to anyone for marketing.
Who we are
MB Property Services, of 97 Russell Lane, London N20 0BA, is the data controller for the personal information described in this notice. You can reach us at hello@mbproperty.services or on 020 8720 7451.
What we collect
When you use the enquiry form on our contact page, we collect:
- your name and email address, which the form requires;
- your phone number, if you choose to give it;
- the type of client you are, from the options in the form;
- the property address or area, if you give it;
- the description of what needs sorting, in your own words.
If you email or call us instead, we hold whatever you choose to tell us. If we go on to work with you, we will hold the information needed to carry out and account for the work, such as site access details, correspondence, quotations and invoices.
Our host, Cloudflare, records standard technical information about requests to this site, including IP addresses, for security and to keep the site running. We do not use that information to identify or profile visitors.
Why we use it, and our lawful basis
- To answer your enquiry and quote for the work. Our lawful basis is legitimate interests: you have asked us for a price or an opinion, and we cannot give one without your details.
- To carry out work you instruct. Our lawful basis is performance of a contract with you.
- To keep proper business records. Where tax, accounting or insurance rules require us to retain records, our lawful basis is compliance with a legal obligation.
We do not use your details for marketing. We will not add you to a mailing list, and we will not contact you about anything other than your enquiry or your job unless you ask us to.
How long we keep it
If your enquiry does not lead to work, we delete it 12 months after our last contact with you.
If we do work for you, we keep the project records for as long as the work is live and then for as long as we are required to, which for financial records and insurance purposes is generally six years from the end of the relevant tax year. After that they are deleted.
Who else handles it
We keep the list of people who touch your information as short as we can. It is:
- Cloudflare, which hosts this website, handles requests to it and provides the visitor statistics described below.
- Resend, which delivers the enquiry form to our inbox as an email.
- Microsoft, whose Microsoft 365 service hosts our email, so it stores that message and our reply to you.
- Our accountant and, where relevant, our insurers, for the records they need.
- Contractors and trades working on your property, but only the details they need to attend and carry out the work, such as the address and access arrangements.
Those providers act on our instructions. Some of them operate outside the United Kingdom, in which case the transfer is covered by the safeguards UK data protection law allows, such as an adequacy decision or standard contractual clauses. We do not sell your information to anyone, ever.
Cookies and analytics
This site sets no cookies. There is no advertising tracking, no social media pixels and nothing that could follow you around the web. That is why you have not been asked to accept anything.
We do use Cloudflare Web Analytics to see how many people visit the site and which pages they read. It is a privacy-focused, cookieless service: it stores nothing on your device, gives you no identifier, and does not track you across other websites. It reports totals only, such as page views, the country a visit came from and how quickly pages loaded. We cannot use it to identify you.
Your rights
Under UK data protection law you have the right to:
- ask what we hold about you, and get a copy of it;
- have inaccurate information corrected;
- ask us to delete it, where we have no continuing reason to keep it;
- ask us to restrict how we use it;
- object to our use of it where we rely on legitimate interests;
- ask for it in a portable form, where that applies.
To exercise any of these, email hello@mbproperty.services. We will respond within one month. There is nothing to pay.
Complaints
If you think we have handled your information badly, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office, the UK regulator, at ico.org.uk or on 0303 123 1113.
Changes to this notice
If we change how we handle personal information, we will update this page and the date at the top of it.
